You should use this article to guide your daily sales activity across:

Your dashboard, views, tasks, Leads, and Deals should tell you what to work next.

Your first priority is overdue tasks.
Overdue tasks may include:
- Follow-up calls
- Follow-up emails
- Pricing follow-ups
- Demo reminders
- Proposal follow-ups
- Customer issue follow-ups
- Internal review tasks
- Support-related follow-ups
Do not ignore overdue tasks.
If a task is still valid, complete it or reschedule it.
If it is no longer valid, update it and document why.

After overdue tasks, review tasks due today.

Every active Deal should have a next step.
If a Deal has no next step, create one.

- Is the decision maker involved?

Open or filter to:

New Leads should not sit untouched.
At minimum, each new Lead should have a first action, status, or task.
9. Morning Review: Check Follow-Up Needed
Open your saved view:

- Overdue next steps
- Prospects who replied
- Records with no recent activity but active status
This view helps you avoid missing opportunities.
10. Morning Review: Set Your Work Priorities
After reviewing your dashboard and views, decide your order of work.
Recommended order:
- Overdue tasks
- Tasks due today
- Active Deals
- Engaged Leads
- New Leads
- Recently engaged Contacts
- Assigned Companies with no recent activity
- Cold prospecting records
This keeps you focused on the most important work first.
11. Midday Execution: Work Active Deals First
During your main work block, prioritize active Deals.
For each active Deal:
- Review the latest activity.
- Complete the next step.
- Log the outcome.
- Update Deal stage if needed.
- Update close date if needed.
- Add a note if context changed.
- Create the next task.
- Escalate if support, pricing, risk, or leadership help is needed.
Deals represent pipeline.
Pipeline should not sit idle.
12. Midday Execution: Work Engaged Leads
After active Deals, work engaged Leads.
Engaged Leads may include prospects who:
- Replied to an email
- Took a call
- Asked for more information
- Requested pricing
- Scheduled a meeting
- Asked about onboarding
- Shared current provider details
- Raised an objection
- Were introduced by a referral partner
Engaged Leads should be worked quickly because they have already shown activity.
13. Midday Execution: Work New Leads
Next, work new Leads assigned to you.
For each new Lead:
- Review the associated Contact or Company.
- Research if needed.
- Determine the reason for outreach.
- Call or email the prospect.
- Log the activity.
- Update Lead status.
- Create the next task.
- Create a Deal only if the Lead is qualified.
Do not let new Leads remain untouched.
14. Midday Execution: Work Contacts and Companies
Use your saved views:
- My Contacts
- My Companies
- Recently Engaged Contacts
- Companies With No Recent Activity
- Contacts Needing Follow-Up
When working Contacts and Companies, ask:
- Is this record assigned to me?
- Is there prior activity?
- Is there an associated Company?
- Is there an associated Contact?
- Is there an existing Lead or Deal?
- Is this record worth outreach?
- What should the next step be?
Do not treat every record equally.
Prioritize based on fit, engagement, and next step.
15. Midday Execution: Log Calls Immediately
After each call, log it in HubSpot.
Your call note should include:
- Whether the call connected
- Who you spoke with
- What was discussed
- Current provider, if known
- Pain points
- Objections
- Decision maker information
- Timing
- Next step
Do not wait until later if the call included important information.
Details are easier to capture while they are fresh.
16. Midday Execution: Log Emails and Replies
If you send or receive important sales emails, make sure they are logged.
After a meaningful reply:
- Open the Contact or Lead.
- Confirm the email is visible.
- Add a note if the reply needs context.
- Update Lead status if needed.
- Create a task.
- Create or update a Deal if appropriate.
Do not let sales conversations live only in your inbox.
17. Midday Execution: Create Tasks Before Moving On
Before you leave a record, ask:
- Is there a next step?
- Who owns it?
- When should it happen?
- Is it tied to the right Contact, Company, Lead, or Deal?
If there is a next step, create a task.
A task should include:
- Clear action
- Due date
- Associated record
- Short context
Bad task:
“Follow up.”
Better task:
“Call Jane Smith Friday to confirm whether the owner can join pricing review.”
18. Midday Execution: Update Lead Status
When you work a Lead, update the Lead status.
Examples:
- New
- Attempting
- Connected
- Working
- Qualified
- Disqualified
- Converted to Deal
Your exact status names may vary, but the standard is the same:
The Lead status should reflect the current reality.
Do not leave worked Leads unchanged.
19. Midday Execution: Update Deals as They Change
When a Deal changes, update it.
Update:
- Deal stage
- Close date
- Amount, if known
- Next step
- Notes
- Associated Contact
- Associated Company
- Deal risk or blocker
Examples of Deal changes:

Use support when the issue needs tracking:
Document customer-facing issues in HubSpot when they affect a Contact, Company, Lead, or Deal.
21. End-of-Day Cleanup: Review What You Worked
At the end of the day, review your activity.

- Did I log my calls?

- Did I update Lead statuses?

Do not leave your next day unclear.

Before ending the day, review your active Deals.
Every active Deal should have:
- Correct stage

- Recent activity
- Associated Contact
- Associated Company
- Clear next step
- Task scheduled
- Notes if status changed

Review your active Leads.
Every active Lead should have:

A Lead without status or next step is not being managed.
