Article 13: Prospecting Workflow SOP — How to Work Assigned Accounts and Contacts Daily

Purpose:  This article shows you how to work your assigned Contacts, Companies, and Leads every day inside HubSpot.

Your goal is to create a repeatable daily rhythm so you are not guessing what to work, who to call, who to email, or what needs follow-up.

A strong prospecting workflow helps you:

  • Start your day with clear priorities
  • Work your assigned records consistently
  • Avoid missed follow-ups
  • Keep Leads moving
  • Keep Deals updated
  • Log meaningful activity
  • Create next-step tasks
  • Build clean pipeline
  • Improve sales productivity

Prospecting should not feel random. Your HubSpot views, dashboards, tasks, and Leads should guide your day.


1. Start With Your AE Sales Command Center

Every morning, start in your HubSpot dashboard.

Your dashboard should help you quickly see:

  • Tasks due today
  • Overdue tasks
  • New Leads assigned to you
  • Open Deals
  • Deals closing this month
  • Recent sales activity
  • Records with no recent activity

Your dashboard gives you the big picture before you start working individual records.

If you do not have a dashboard yet, create one called:

My AE Sales Command Center

This should become your daily starting point.


2. Open Your Core Views

After reviewing your dashboard, open your core saved views.

You should have these views created:

  1. My Contacts
  2. My Companies
  3. My Open Leads
  4. My Open Deals
  5. Follow-Up Needed

These are your main working lists.

Your dashboard shows what is happening.

Your views show exactly who and what to work.


3. Work in Priority Order

Do not start your day by randomly clicking records.

Use this priority order:

  1. Overdue tasks
  2. Tasks due today
  3. Active Deals
  4. Engaged Leads
  5. New Leads
  6. Recently engaged Contacts
  7. Assigned Companies with no recent activity
  8. Cold Contacts or lower-priority list records

This order helps you focus first on the records most likely to move revenue forward.


4. Priority 1: Work Overdue Tasks

Start with overdue tasks.

Overdue tasks may include:

  • Follow-up calls
  • Follow-up emails
  • Pricing follow-ups
  • Demo reminders
  • Proposal check-ins
  • Decision-maker follow-ups
  • Support issue check-ins
  • Internal review items

Do not let overdue tasks build up.

If a task is no longer relevant, update it, complete it, or create a new accurate task.

Every task should reflect a real next step.


5. Priority 2: Work Tasks Due Today

After overdue tasks, work tasks due today.

For each task:

  1. Open the related Contact, Company, Lead, or Deal.
  2. Review recent activity.
  3. Complete the action.
  4. Log the result.
  5. Update the status if needed.
  6. Create the next task if follow-up is required.

Do not complete a task without documenting what happened.

If you complete a call task, log the call or add a note.

If you complete an email task, confirm the email is logged.


6. Priority 3: Work Active Deals

Next, review your active Deals.

Go to:

CRM > Deals

Open your saved view:

My Open Deals

For each active Deal, ask:

  • What stage is this Deal in?
  • Is the close date realistic?
  • Is there a next step?
  • Is there recent activity?
  • Is the Deal associated with the right Contact?
  • Is the Deal associated with the right Company?
  • Is there an objection that needs to be addressed?
  • Does this Deal need help from Sales Ops, leadership, support, risk, or operations?

A Deal without a next step is not being actively managed.


7. What to Do When Working Deals

When you review a Deal, you should take action if needed.

Examples:

  • Create a follow-up task
  • Send a follow-up email
  • Call the Contact
  • Update the Deal stage
  • Update the close date
  • Add a note
  • Confirm the associated Company
  • Confirm the associated Contact
  • Escalate an issue
  • Move the Deal to Closed Lost if it is no longer active

Your pipeline should reflect reality, not hope.


8. Priority 4: Work Engaged Leads

Next, work Leads that have shown engagement.

Engaged Leads may include prospects who:

  • Replied to an email
  • Took a call
  • Asked for pricing
  • Requested more information
  • Were referred by a partner
  • Scheduled a meeting
  • Asked about onboarding
  • Shared current provider details
  • Mentioned payment pain
  • Asked a product question

Engaged Leads are higher priority than cold records because they have shown activity.


9. What to Do When a Lead Engages

When a Lead engages:

  1. Open the Lead.
  2. Review the associated Contact or Company.
  3. Log the activity.
  4. Add a note summarizing the engagement.
  5. Update the Lead status.
  6. Create a next-step task.
  7. Decide whether the Lead is qualified.
  8. Create a Deal only if there is real commercial opportunity.

Do not let engaged Leads sit without follow-up.

Speed matters.


10. Priority 5: Work New Leads

After engaged Leads, review new Leads assigned to you.

Go to:

Sales > Sales Workspace > Leads

Open or filter to:

My Open Leads

For each new Lead, ask:

  • Why was this Lead assigned?
  • Is it a Contact or Company Lead?
  • Is there an associated Contact?
  • Is there an associated Company?
  • Is there prior activity?
  • Is the data complete enough for outreach?
  • Does this Lead require research first?
  • What should the first outreach step be?

A new Lead should not sit untouched.


11. How to Work New Leads

Use this process:

  1. Review the Lead record.
  2. Review the associated Contact or Company.
  3. Research if needed.
  4. Create a first outreach task.
  5. Call or email the prospect.
  6. Log the activity.
  7. Update the Lead status.
  8. Create the next task.
  9. Disqualify if the record is clearly not workable.
  10. Create a Deal only when qualified.

Do not create Deals for new Leads before engagement.


12. Priority 6: Work Recently Engaged Contacts

Recently engaged Contacts may include people who:

  • Replied to outreach
  • Opened or clicked an email
  • Booked a meeting
  • Completed a form
  • Took a recent call
  • Were recently added to HubSpot
  • Were recently associated with a Company or Lead

Email opens alone do not always mean strong engagement, but they can help you prioritize outreach.

Focus first on replies, conversations, meetings, and direct requests.


13. Priority 7: Work Assigned Companies With No Recent Activity

Next, review your Companies that have no recent activity.

Open:

My Companies

Then filter or review for Companies where:

  • Last activity date is unknown
  • Last activity date is older than 14 days
  • Associated Contacts are known
  • Company owner is you
  • No open Deal exists

These Companies may need research, outreach, or cleanup.


14. How to Work Companies With No Recent Activity

For each Company:

  1. Open the Company record.
  2. Review associated Contacts.
  3. Check for existing Deals.
  4. Review website or business context.
  5. Identify the best Contact.
  6. Create an outreach task.
  7. Log any research notes.
  8. Begin outreach.
  9. Update the record after activity.

Do not create a Deal just because a Company has no activity.

You need engagement and opportunity.


15. Priority 8: Work Cold Contacts or Lower-Priority Records

After you have worked urgent follow-ups, active Deals, engaged Leads, and new Leads, you can work colder records.

Cold records may include:

  • Imported Contacts with no activity
  • Companies without recent engagement
  • Contacts with limited data
  • Lower-fit industries
  • Older assigned records
  • Records from broad campaigns

Cold prospecting still matters, but it should not take priority over active opportunities.


16. Recommended Daily Prospecting Blocks

You may organize your day into blocks.

Morning Block

Focus on:

  • Overdue tasks
  • Today’s tasks
  • Active Deals
  • Engaged Leads
Midday Block

Focus on:

  • New Leads
  • Follow-up calls
  • Discovery calls
  • Research for priority Companies
Afternoon Block

Focus on:

  • Cold outreach
  • Email follow-ups
  • Updating records
  • Creating next-step tasks
  • Cleaning up notes and statuses

This rhythm helps you balance urgency, pipeline, and prospecting volume.


17. What to Do After Every Call

After every call, update HubSpot.

You should:

  1. Log the call.
  2. Note whether it connected.
  3. Summarize the conversation.
  4. Document pain points.
  5. Document objections.
  6. Update Lead status or Deal stage if needed.
  7. Create the next task.
  8. Create a Deal only if there is real opportunity.

Do not move to the next prospect without documenting the call.


18. What to Do After Every Email Reply

When someone replies:

  1. Confirm the email is logged.
  2. Read the reply carefully.
  3. Open the Contact or Lead.
  4. Add a note if context is needed.
  5. Update Lead status.
  6. Create a follow-up task.
  7. Create or update a Deal if appropriate.
  8. Escalate any question you cannot answer.

A reply is a strong signal.

Treat it with urgency.


19. What to Do After Every Meeting

After a meeting:

  1. Log the meeting.
  2. Add meeting notes.
  3. Identify decision makers.
  4. Document current provider.
  5. Document payment needs.
  6. Document objections.
  7. Update Deal stage if applicable.
  8. Update close date if applicable.
  9. Create the next task.
  10. Escalate support, pricing, risk, or operations questions if needed.

A meeting without notes creates lost context.


20. What to Do When a Prospect Is Not Ready

If a prospect is not ready now, document why.

Examples:

  • Timing is not right.
  • Contract with current provider is still active.
  • Owner needs to review later.
  • Business is not currently evaluating payments.
  • Budget or pricing concern exists.
  • Prospect wants follow-up in a future month.

Create a future task if the opportunity is still valid.

Do not leave the record unclear.


21. What to Do When a Prospect Is Not a Fit

If the prospect is not a fit:

  1. Add a clear note.
  2. Update Lead status or disqualification reason.
  3. Do not create a Deal.
  4. Close or complete unnecessary tasks.
  5. Keep the record clean for future reference.

Example note:

“Disqualified. Business does not currently accept card payments and has no interest in digital payment options. No Deal created.”


22. How to Use Tasks Correctly

Tasks should tell you exactly what to do next.

Bad task:

“Follow up.”

Better task:

“Call Dr. Smith Tuesday to confirm whether he wants pricing for online payments and recurring billing.”

Every task should include:

  • Action
  • Due date
  • Associated record
  • Short context
  • Owner

Your tasks should make tomorrow easier.


23. How to Use Notes Correctly

Notes should explain what happened and why it matters.

A good note includes:

  • Who you spoke with
  • What was discussed
  • Current provider
  • Pain points
  • Objections
  • Decision makers
  • Timing
  • Next step

Good notes help another team member understand the record without asking you for the full story.


24. When to Create a Deal During Prospecting

Create a Deal when:

  • The prospect engages
  • There is a business need
  • ChainIT Pay may be a fit
  • There is potential revenue
  • There is a next step
  • The opportunity belongs in the sales pipeline

Examples:

  • Pricing requested
  • Demo scheduled
  • Provider comparison requested
  • Onboarding discussed
  • Payment pain confirmed
  • Volume shared
  • Decision maker engaged

Do not create a Deal for every outreach attempt.


25. When to Ask for Help

Ask for help when:

  • You are unsure whether to create a Deal
  • The prospect asks a pricing question you cannot answer
  • The account may be high-risk
  • There is a compliance or underwriting concern
  • A record looks wrong
  • Another AE owns the account
  • A customer issue needs support
  • Your HubSpot view or dashboard is not working
  • The opportunity may need leadership involvement

Do not guess.

Use Sales Ops, leadership, or support when needed.


26. Daily Prospecting Checklist

Before ending your day, confirm:

  • Overdue tasks reviewed
  • Today’s tasks completed or rescheduled
  • Active Deals reviewed
  • New Leads reviewed
  • Engaged Leads followed up
  • Calls logged
  • Emails logged
  • Notes added
  • Lead statuses updated
  • Deal stages updated where needed
  • Next-step tasks created
  • Support issues submitted if needed
  • No active Deal left without a next step

27. Common Prospecting Mistakes to Avoid

Avoid:

  • Starting with random Contacts
  • Ignoring overdue tasks
  • Letting replies sit in your inbox
  • Creating Deals too early
  • Not logging calls
  • Not updating Lead status
  • Not creating next tasks
  • Working only from spreadsheets
  • Ignoring Company records
  • Skipping research before outreach
  • Treating email opens as qualified interest
  • Leaving active Deals without next steps

28. Final Standard

Your prospecting should be organized, repeatable, and visible in HubSpot.
